Job Description
Position Title: REGISTRAR ASSISTANT - Student Services, The Fletcher School

The Office of Student Academic Programs/Registrar seeks an individual with strong interpersonal and organizational skills to fill its available position of Registrar Assistant. The Office of Student Academic Programs/Registrar is a multi-functioning office. Routine registrar type activities take place in this office (e.g. keeper of student files/records; course scheduling, enrollment in courses, processing degree and enrollment verifications, etc) as well as serves as the home for the International Student Advisor. The professional staff spend the majority of their time advising and working with students to help ensure that they meet their academic and professional goals while at the same time meeting degree requirements. It is generally a busy office with a large amount of student contact.

The Manager of Student Academic Programs/Registrar's office serves as the initial point of contact for Fletcher students on virtually all academic and student services questions. The Registrar Assistant is the front-line person in the office. The position will provide professional, courteous and accurate information to students and other guests at the desk or via telephone or email. The Registrar Assistant must be well versed in all aspects of the School's academic and administrative operations and be able to interpret and convey those policies. Additionally, this person must be resourceful. If she/he does not know the answer, she/he must be able to determine where or how to find it. The main responsibilities of this front-line position are:

  • Organizing routine office functions for the Office of Student Academic Programs/Registrar. This includes but is not limited to: registration, enrollment and cross-registration, final examinations, entering grades and thesis reports and foreign language reports and general data entry as needed; preparation of registration packets and mailings for distribution; creation, when necessary, of additional forms necessary for student registration; enrolling students and cross-registrants in courses; processing add/drop forms; updating information on SIS and creating a directory of students; setting up procedures for all self-scheduled exams, collecting exams and ensuring their confidentiality, and security answering questions from students, faculty and staff;
  • Handling responsibility for all enrollment certifications, VA certifications, loan deferrals and transcript requests and ordering and maintaining office supplies;
  • Advising Fletcher community regarding routine matters; informing the Fletcher School community regarding standard policies and procedures; and advising on day to day issues;
  • Handling responsibility for reviewing degree petitions for graduation; preparing, posting and updating degree list; monitoring student process on completion of degree requirements; assisting in notifying both students and faculty of missing requirements; compiling the final degree list for Registrar, Faculty and Board of Trustees; and ordering diplomas and supplies and setting them up for graduation.

Requirements

Basic Requirements:

  1. Bachelor's degree
  2. Minimum of one (1) year of experience
  3. Proficiency with Microsoft Word and Excel; experience with databases

Preferred Qualifications:Experience in higher education setting a major plus. More than one year of experience is preferred.

Special Work Schedule Requirements:During peak times, the ability to work a bit of overtime and weekends during commencement and orientation is required.
